INFORMATION FOR ADMITTED APPLICANTS
Congratulations and welcome to our 2017 ESAP class!
Your non-refundable deposit payment is due at the time of enrollment. Your enrollment form and deposit payment must be submitted NO LATER than the date listed on your decision letter. After completing your enrollment form, you will automatically be routed to the deposit page for payment. If you experience any issues with the enrollment or deposit payment page, please contact CollegeNET directly.
Once you are enrolled in ESAP, a bill will be generated and sent to you (via email) DIRECTLY from Student Financial Services (not ESAP). The balance due (minus the amount of your deposit payment) will be due on the date specified on your bill.* If you received a financial aid award, this amount will be deducted from your balance before your bill is generated. The university must receive the full amount due on or before the bill’s due date. If full payment is not received by the due date, a late penalty of 1.5% of the amount past due will be assessed, and your enrollment in the program will be jeopardized.
*For priority applicants, bills will typically be available at the end of April and will be due at the end of May. For non-priority applicants, your bill will be disbursed at the end of May and will be due at the end of June. *
If you are a not a US citizen, permanent resident, or current F-1 visa holder studying in the US, you WILL require an F-1 visa to participate in ESAP. We will be contacting all admitted international students with further details on applying for the F-1 visa. Please note, visitor or tourist visas will not be accepted for this program.
Move-in for the program will be on Sunday, July 2nd
CAR: must arrive and check into the dorms between 2:00 PM – 4:00 PM EST (14:00 – 16:00)
AIR: must travel into /out of Phila. International Airport (PHL) if ground transportation is required
BUS or TRAIN: must travel into/out of 30th Street Station if ground transportation is required
ESAP will provide ground transportation (to and from campus) to all students arriving at Philadelphia International Airport (PHL) or 30th Street Station on Sunday July 2nd, between the hours of 9:00 AM – 4:00 PM EST (9:00 – 16:00) only. The shuttles will be running on a continuous loop between the airport and Penn’s campus (you do not need to make a reservation). IF YOU ARRIVE AT EITHER LOCATION OUTSIDE OF THIS TIME FRAME, YOU ARE RESPONSIBLE FOR YOUR OWN TRANSPORTATION TO PENN’S CAMPUS
NOTE FOR STUDENTS REQUIRING GROUND TRANSPORTATION:
Be sure to look for program staff wearing ESAP t-shirts and holding ESAP signs in the baggage claim area (PHL) and the main concourse (30th Street Station)
***IMPORTANT: If you are arriving by PLANE, TRAIN, or BUS, and DO NOT require ground transportation to ESAP, please select “CAR” as your mode of arrival***
Students are free to leave the program AFTER the graduation ceremony and reception on Friday, July 21st at 7:00 PM EST (19:00). If you are departing that evening by AIR, BUS, or TRAIN, please do not book a reservation that departs before 9:00 PM EST (21:00). You must allow enough time to check out of the dorm and travel to the airport or train/ bus station after graduation. If you are staying on campus until Saturday, July 22nd, ALL students must be moved out of the dorm by 11:00 AM EST (11:00) – there are no exceptions.
ADDITIONAL REQUIRED ENROLLMENT FORMS:
All enrolled students must complete and submit the posted PDF forms below, no later than Friday May 19th.
The PDF forms below must be uploaded and submitted directly through the ESAP website, along with the online ESAP enrollment forms that can be accessed below. All forms are mandatory, except for the gym membership form. If you are ineligible (due to age) or do not wish to sign up for the gym membership, you do not need to submit that form.
After clicking on the “Enrollment” button below, you will be guided through 3 sections that must be completed:

- Emergency Contact Information
At the end of the Emergency Contact Information section, you will find additional instructions on how to upload the PDFs below. Please print and complete the following forms in advance, so they will be ready for upload.
- Participant Agreement
- Parent Permission Form
- Waiver and Release Form
- Medical Form (and copy of medical insurance card)
- Gym Waiver (for students 16 – 17 YRS OLD) – OPTIONAL
- Gym Waiver (for students 18 YRS & OLDER) – OPTIONAL
Please save each document INDIVIDUALLY (Medical Form and copies of insurance card should be saved/ uploaded as one file), and use the naming convention below for your files. When finished, you should have 4-5 separate PDF documents prepared for upload (+/- the optional Gym form):

NOTE: Your enrollment packet (online enrollment forms and completed uploaded PDF forms) can only be submitted ONCE. Please ensure that you have your complete travel details confirmed, and that you have downloaded and completed all required PDF enrollment forms above (and have them ready for upload) BEFORE hitting the “submit” button.
